A plain-English explanation of what we collect, why we collect it, who helps us process it, and how to make a privacy request.

1. Overview

This Privacy Policy explains how Olympic Peninsula AI Consulting ("OPAIC," "we," "us," or "our") handles information collected through this website and the AI Audit request process. It applies to olypenaiconsulting.com and the related pages and forms we operate.

OPAIC is a local consulting practice serving people and organizations in the Olympic Peninsula region. This policy is written for a practical, small-business website and does not replace any more specific privacy notice in a separate written service agreement.

2. Information we collect

Depending on how you use the site, we may receive:

  • Contact details: your name, email address, phone number, city, and preferred contact method.
  • Organization details: a business or organization name, website, audience or business type, current tools, and the workflow problem you describe.
  • Mini-audit answers: the business or audience type, biggest time drain, and comfort level with AI that you choose to receive a directional preview.
  • Technical information: information that may be included in ordinary server or security logs, such as request timing, browser or device details, and network information.

We do not ask for payment card numbers, account passwords, API keys, private keys, or customer, student, resident, patient, or other sensitive records through the public audit form. Please do not submit them.

3. How we use information

We use information for the purposes connected to your request, including to:

  • generate the directional mini-audit preview you asked to see;
  • review and respond to a Free Quick AI Audit request;
  • contact you using the method you selected;
  • send a confirmation that your request was received;
  • maintain necessary business, security, and communication records;
  • protect the website, prevent abuse, and troubleshoot failures; and
  • comply with applicable legal obligations.

We do not use your audit request to make an automated eligibility, employment, credit, insurance, education, housing, or similar decision about you.

4. The mini-audit and full request

The mini-audit sends the answers you select to our application so it can return a plain-English opportunity preview. The preview is directional, not a promise of savings, and does not by itself create a consulting engagement.

If you continue to request a full audit, the information in that intake is saved in the application’s PostgreSQL database before email delivery is attempted. Saving the request is the primary record of your inquiry; a temporary email-delivery problem should not erase it.

5. Storage and retention

Full audit requests are stored in the PostgreSQL database used by the application. We keep request information only for as long as reasonably needed to review the inquiry, communicate with you, maintain ordinary business records, resolve disputes, protect the service, or meet legal and accounting obligations.

We do not promise a fixed deletion period in this general policy because the appropriate period can depend on the request and the records involved. You may ask us about a specific request using the contact information below.

6. Service providers and disclosures

We may share limited information with providers that help us operate the service, only for the related purpose. For example, Resend processes email addresses and message content so the site can send an owner notification and a requester confirmation.

We may also disclose information when reasonably necessary to comply with law, respond to a valid legal process, protect the rights or safety of people, investigate abuse, or protect the website and its systems. We do not sell or rent audit-request information.

7. Cookies, fonts, and external content

We do not currently use cookies for advertising, cross-site tracking, or analytics profiling. The application or hosting environment may use strictly necessary technical storage or cookies for functionality and security.

The site currently loads fonts from Google Fonts. Your browser may contact Google to request those font files, and Google may receive information such as your IP address and browser details as part of that request. We also link to external sites such as image-license sources. Those sites have their own policies and practices.

8. Security and responsible submissions

We use reasonable administrative and technical measures for the small-business service we operate. No website, email system, or database can be guaranteed completely secure, and sending information over the internet always carries some risk.

Please describe workflows at a high level. Do not paste confidential customer data, student records, resident information, health information, financial account details, credentials, or regulated records into the public form. If a later consulting engagement needs access to a particular system or dataset, that should be discussed separately and governed by appropriate written instructions.

9. Your choices and privacy requests

You can choose not to submit an audit request. You can also contact us to ask what information we hold about a request, request a correction, ask us to delete information where appropriate, or ask us to stop using information for follow-up when the law allows.

When you contact us, please provide enough context to identify the request without sending sensitive records. We may need to verify the request before making changes. Depending on where you live, you may have additional rights under applicable privacy law.

10. Children

This website is intended for adults and organizations, not for children under 13. We do not knowingly collect personal information directly from children through the public audit form. If you believe a child submitted information, please contact us so we can review the request.

11. Changes and contact

We may update this policy when the site, services, or applicable requirements change. The "Last updated" date at the top indicates when the current version was published. Material changes will be reflected on this page.
